Quotilo

Prepare a useful project estimate

An estimate sets out expected project costs while assumptions, quantities or material prices may still change. Use Quotilo to list labor and materials, explain the scope and exclusions, and review the proposed costs with your customer.

Create an estimate and save it as PDF

Enter your business and customer details, add estimated line items, and choose the document language and currency. Use the assumptions and notes fields to explain what the price includes. Review the live preview, then use Print / Save PDF to save through your browser's print dialog.

Document details and logos are processed and saved locally in this browser. Each tool has its own draft on this browser and device. Clearing browser data or using private browsing can remove drafts; save important documents as PDF. Privacy · About

How to prepare your estimate

1. Describe the expected work

Identify the customer and project. Add estimated hours, quantities, rates and material allowances rather than an unexplained lump sum.

2. State assumptions and exclusions

Explain site conditions, quantities or supplier prices assumed in the estimate. State excluded work and how a scope change will be discussed with the customer.

3. Check the preview and save

Check the validity date, totals and price-change notice. Choose Print / Save PDF and select the browser's PDF destination or a printer.

Estimate, quotation or invoice?

Choose wording that reflects your agreement with the customer. Legal effects depend on the terms and applicable rules.

Prepare a quotation when the scope is clearer

Open the quotation generator →

A quotation presents proposed work and pricing for acceptance. An estimate communicates expected costs while assumptions remain. Neither label alone determines whether an agreement is binding.

Request payment for the work

Open the invoice generator →

Use an invoice when requesting payment for agreed or completed work. Each tool has its own draft; enter the final details yourself rather than expecting automatic conversion.

Make the scope and uncertainty clear

These practical checks help the customer understand the estimate before work starts.

Explain quantities and rates

Show expected hours and unit prices. The calculator applies your document-wide tax and discount settings; it does not calculate markup or estimate labor for you.

State what is excluded

List work that is outside the estimate, such as repairs, extra rooms or additional revisions. Add allowances or contingency as clearly labeled line items if needed.

Describe how prices may change

The estimate includes a notice that final prices may change with scope or costs. Explain your assumptions and discuss revisions with the customer before additional work.

Illustrative room-painting estimate

A decorator estimates work for one empty room with sound, dry walls.

Preparation and painting: 12 hours × $40$480.00
Paint and materials allowance$180.00
Cleanup: 2 hours × $40$80.00
Total$740.00

Illustrative subtotal before taxes or discounts. Assumes one empty room and excludes damp repairs, electrical work and extra rooms. Final prices may change if scope, labor or material costs change; review revisions with the customer.

Questions about project estimates

Is the estimate generator free without signup?

Yes. Enter your details, line items and assumptions, review the preview, then save a PDF through the browser's print dialog. You do not need an account.

Can I use it for contractor or construction estimates?

You can itemize labor, materials and allowances for contractor work, repairs or other projects. Quotilo calculates the amounts you enter; it does not supply material prices, measure a site or assess project risk.

How is an estimate different from a quotation?

An estimate describes expected costs while some assumptions remain. A quotation presents proposed work and prices for acceptance. The agreed terms and applicable rules determine their legal effect.

Will my estimate become an invoice automatically?

No. Estimates, quotations and invoices have separate drafts. Open the relevant tool and enter the agreed details yourself. Save important documents as PDF because browser data can be cleared.
